Property management call center: an AI call center for property management that answers maintenance and leasing calls 24/7

A property management call center exists for one reason: the phone keeps ringing after the office closes, and a burst pipe at 2am cannot wait for a callback. The question every manager eventually faces is not whether to cover those calls but who covers them. A leasing agent carrying the on-call phone burns out. A generic answering service takes a message and emails it to you, which is not much better when the message says water is coming through a ceiling.

The short answer

A property management call center answers your tenant and prospect calls when your office cannot, sorts real maintenance emergencies from routine requests, and wakes your on-call tech only for the first kind. Priced for a 200-unit portfolio taking about 120 calls a month, from each provider's published pricing checked in September 2026: Buildium's and Propertyware's Maintenance Contact Center cost $140 to $220 a month plus a $300 setup fee and handle maintenance calls only, live answering services run $479 to $1,725, and AI call centers run $89 to $270. PhoneAgent.ai handles maintenance and leasing calls for a flat $89, $199 or $399 a month and books showings into your calendar, but it does not write work orders into your property management software.

PhoneAgent.ai is an AI call center built for that job. It answers every tenant and prospect call in your company's name, around the clock and several at once. It asks your triage questions, escalates real emergencies to your on-call list by the rules you write, logs everything else for the morning, and books prospects onto a showing in Google Calendar, Outlook, Calendly or Acuity. It costs a flat monthly fee, so a storm night that brings forty calls costs the same as a quiet Tuesday.

Why it works

What your team gets with a property management call center

Triage by your rules

You write the emergency list: no heat below a set temperature, active water, gas smell, lockouts, no power. Those calls go straight to your on-call tech. Everything else becomes a logged request for the morning, and nobody is woken for a dripping faucet.

Leasing calls, not just repairs

Prospects calling about a vacancy get answered, qualified with your questions and booked onto a showing during the call. The per-unit maintenance centers sold by property software vendors do not take leasing calls at all.

Flat price, not per door

You pay $89, $199 or $399 a month whether you manage 60 doors or 600. Adding a building does not raise the bill, and a busy weekend does not either.

What it handles

Answered, disclosed and booked on autopilot

The AI receptionist answers every call 24/7, discloses it is your AI assistant, qualifies and routes the caller, answers your FAQs, and books the appointment straight into your calendar, then texts a confirmation and, on Professional and above, syncs the contact to your CRM.

  • Answers every tenant and prospect call 24/7, including nights, weekends and holidays
  • Sorts emergencies from routine maintenance with the triage questions you set
  • Calls or transfers your on-call technician for real emergencies
  • Logs routine requests with the unit, the problem and the best callback time
  • Books showings for prospects into Google Calendar, Outlook, Calendly or Acuity
  • Answers several calls at once during an outage or a storm
  • Handles calls in English or Spanish, detected on the caller's first sentence
  • Texts back any caller who hangs up before the call is answered

Answers every call

It answers on the first ring, 24/7, discloses it is your AI assistant, and holds a natural conversation, so no caller is ever sent to voicemail.

Honest and consent-aware

It tells callers it is an AI, recording is optional and consent-aware per state, and outbound texts are TCPA-aware with opt-outs honored.

Books the appointment

Callers get booked straight into your calendar, texted a confirmation and, on qualifying plans, synced to your CRM, so the appointment is on the books before you check.

What a property management call center costs for 200 units

Every row is priced from the provider's own published pricing, checked in September 2026. The model is a 200-unit portfolio taking about 120 calls a month at a three minute average (360 minutes). That call rate is our working assumption, not an industry benchmark, so rerun the math with your own phone bill. Rows run from cheapest to most expensive.

Provider Who answers How it bills Cheapest published fit Monthly cost
PhoneAgent.ai AI Flat monthly Starter, about 150 calls, maintenance and leasing, showings booked $89
Goodcall AI Flat per agent, metered per unique caller 100 unique callers included, 20 more at $0.50 About $89
Buildium or Propertyware Maintenance Contact Center, missed calls Live agents Per unit, $140 minimum 200 units at $0.70, maintenance calls your team misses and after hours only, plus $300 setup $140

Buildium or Propertyware Maintenance Contact Center, all calls Live agents Per unit, $140 minimum 200 units at $1.10, all maintenance calls, plus $300 setup $220
Smith.ai AI receptionist AI Per call 150 call plan $270
MAP Communications Live Minute plans Enterprise, 250 minutes ($339) plus 110 at $1.28 About $480
AnswerConnect Live Per minute, each call rounded up to the whole minute Standard, 400 minutes, plus a $49.99 setup fee $575

The Buildium and Propertyware rows cost the same at any call volume but rise with every door you add; the per-minute rows do the opposite. The two Maintenance Contact Center plans cover maintenance calls only and require the matching software. Goodcall bills per unique caller, so a tenant who calls three times about the same leak counts once.

What does a property management call center do?

It answers tenant, owner and prospect calls when your office cannot, decides what each call needs, and routes it. Three call types make up most of the volume, and each needs a different outcome.

A tenant with a true emergency (active water, no heat in January, a gas smell, a lockout) should reach your on-call technician within minutes. A tenant with a routine repair should get a logged request and a clear promise about when someone will call, without anyone being woken. A prospect asking about a vacancy should be qualified and booked onto a showing before they call the next listing. A call center that treats all three the same way, usually by taking a message, is where most of the frustration with outsourced coverage comes from.

PhoneAgent.ai handles all three on every plan. The rules for what counts as an emergency are yours, and the same rules run on the first call of the night and the fortieth. If you want the escalation logic in more depth, we wrote up how to handle after-hours emergency maintenance calls with a sample triage list.

How much does a property management call center cost?

For a 200-unit portfolio taking about 120 calls a month, published September 2026 pricing puts property management call centers between $89 and $1,725 a month. Where a provider lands depends on which of three meters it uses.

Per unit: Buildium and Propertyware sell the same Maintenance Contact Center at $1.10 per unit per month for all maintenance calls, or $0.70 per unit for only the calls your team misses and after hours, with a $140 monthly minimum and a one-time $300 setup fee. The bill ignores how often your tenants call and grows with every door you add.

Per minute: live answering services such as MAP Communications, AnswerConnect and Ruby bill talk time, so a bad weekend shows up on the invoice. At 360 minutes a month the published plans land between about $480 and $1,725.

Flat: PhoneAgent.ai is $89 a month on Starter for about 150 calls, $199 on Professional for about 500 calls with two numbers and warm transfer to your on-call tech, and $399 on Practice for up to five locations. How legacy services structure their minute pricing is broken down further on the answering service cost page.

Per unit or flat rate: which pricing works for your portfolio?

Do the division. A per-unit center at $1.10 a door costs $110 at 100 units, $220 at 200, $550 at 500 and $1,100 at 1,000, whether your tenants call twice a month or twenty times. Against PhoneAgent.ai's Professional plan at $199, the per-unit price is lower only below about 181 units on the all-calls plan, and below about 284 units on the $0.70 missed-calls plan. Starter at $89 sits under the $140 minimum at any size, as long as the call count fits.

The per-unit model does have one real advantage, and it is worth paying for if it matters to you: the agents enter each request straight into Buildium or Propertyware, so the work order exists before anyone on your team touches it. If your maintenance coordinator lives inside that queue and you have no leasing calls to cover after hours, that integration can be worth the higher price at scale. If you also need prospects answered and booked, the per-unit centers do not cover that call at all.

Does it work with AppFolio, Buildium, Rent Manager or Yardi?

Not directly, and it is better to know that before you buy. PhoneAgent.ai does not write work orders into AppFolio, Buildium, Propertyware, Rent Manager, Yardi, Entrata or RealPage. It captures each request with the property, unit, tenant name, callback number and a description of the problem, and sends it to you by text and email with the call recording, so your coordinator can enter it in a minute.

What it does connect to is your calendar. Showings are booked straight into Google Calendar, Outlook, Calendly or Acuity during the call, which is where most small and mid-size managers already schedule them.

If writing directly into your software is the deciding factor, the vendors' own contact centers are the honest recommendation: Buildium and Propertyware publish their price, while AppFolio and Rent Manager quote theirs on request.

Can a property management call center book showings?

Some can, and it matters more than most managers expect. A prospect who calls about a vacancy at 7pm and gets voicemail has usually called two other listings by 7:10. The maintenance-only centers sold with property software do not take leasing calls, and many general answering services take a message and leave the booking to you.

PhoneAgent.ai answers the leasing call, asks your qualifying questions (move-in date, household size, pets, budget, how they heard about you), and books a showing into an open slot on your calendar. It asks every prospect the same questions in the same order, which keeps your screening consistent from one caller to the next. The caller gets a text confirmation with the address, and you get the booking with a written summary. For communities where leasing is most of the volume, the apartment answering service page covers tours, resident calls and after-hours maintenance in more detail.

Live agents or an AI call center for property management?

For the calls that fill most nights, the AI is faster and cheaper: it picks up on the first ring, it answers ten tenants at once during a building-wide outage, it asks every triage question every time, and it does not bill by the minute. It is also the only option in the table above that covers both maintenance and leasing calls for under $100 a month.

A live agent is the better buy for the minority of calls that need judgment a script cannot give: an upset owner, a tenant in real distress, a legal or eviction question. PhoneAgent.ai tells every caller it is an AI in its first sentence, and on Professional and Practice it can warm transfer those calls to a person on your team. If you would rather compare the full answering service field built for property managers, we ranked them in the best answering service for property management.

What should a property management call center do with non-emergency calls at night?

Log them, confirm them to the tenant, and leave them for the morning. The fastest way to burn out an on-call tech is to wake them for a running toilet, and the fastest way to annoy a tenant is to leave them unsure whether anyone heard.

PhoneAgent.ai tells the tenant their request is logged and when to expect a call, then sends the details to your team for the next business day. Calls in Spanish are handled the same way, which matters in many US rental markets; see Spanish answering service for how that works. If a tenant hangs up before the call connects, it texts them back so the request is not lost.
