Spa answering service and phone answering service for spas with an AI receptionist for massage therapists that books the session 24/7
A day spa or massage studio has a phone problem that has nothing to do with how busy the front desk is. The person who answers the phone is usually the same person who greets clients, sells retail, rings up packages and, in a smaller studio, gives the massage. When that person is in a 60 minute session, the phone goes to voicemail for an hour, and the caller who wanted a Saturday couples massage books the next spa on the map instead.

The short answer
A spa answering service picks up the calls your front desk misses while it is checking a client in, ringing up a package or walking someone to a treatment room, and turns each call into a booked massage, facial or package rather than a voicemail. Live answering services bill by the minute, so at 120 calls a month published pricing runs from about $470 to $1,725. AI receptionists bill flat or per call and run $81 to $263 at the same volume. PhoneAgent.ai answers every call 24/7 at a flat $89 a month for about 150 calls, books into Google Calendar, Outlook, Calendly or Acuity, texts callers your own booking link when you run Mindbody, Vagaro, Boulevard or Square, and tells every caller it is an AI.
PhoneAgent.ai answers every one of those calls in your spa's name. It knows your menu, your prices and your cancellation policy because you wrote them down once, it books the session into your calendar or texts the caller your booking link, and it sends you a summary of every call so nothing is lost between appointments.
Below is what each way of covering a spa phone costs at a normal month and a busy one, priced from each provider's own pricing page, and the calls you should still keep for a person.
Flat fee no per-minute surprises
Answers 24/7 never to voicemail
Why it works
What your team gets with a spa answering service
Books the session, not a callback
It offers open times for the service the caller asked for, books into Google Calendar, Outlook, Calendly or Acuity, and confirms by text. If your book lives in Mindbody, Vagaro, Boulevard or Square, it texts your own booking link and tells the caller so.
Never interrupts a session
Your therapists stop leaving a client on the table to answer a ringing phone. Every call is answered on the first ring and summarized by text and email, so you read them between appointments.
Flat fee through gift card season
You pay $89, $199 or $399 a month. The week before Mother's Day and the last two weeks of December cost the same as a quiet February, because nothing is billed by the minute.
What it handles
Answered, disclosed and booked on autopilot
The AI receptionist answers every call 24/7, discloses it is your AI assistant, qualifies and routes the caller, answers your FAQs, and books the appointment straight into your calendar, then texts a confirmation and, on Professional and above, syncs the contact to your CRM.
- Answers every call 24/7, including evenings and Sundays when people plan a spa day
- Books massages, facials, body treatments and couples sessions into Google Calendar, Outlook, Calendly or Acuity
- Texts the caller your Mindbody, Vagaro, Boulevard or Square booking link when your book lives there
- Answers questions about your menu, prices, packages, parking and what to arrive early for, in your words
- Takes gift card requests and texts the caller your online gift card link

- Routes prenatal, medical and complaint calls to a person (warm transfer on Professional and Practice)
- Texts back any caller who hangs up before the call is answered

What a spa answering service costs at 120 and 300 calls a month
Every row is priced from the provider's own published pricing, read on October 14 and 15, 2026. The model is a spa taking 120 calls in a normal month and 300 in a busy one (Mother's Day, December gift card season or a new location), at a three minute average call. Each cell is the cheapest published plan, or plan plus overage, that covers the volume.
| Provider | Who answers | How it bills | Normal month, 120 calls | Busy month, 300 calls |
|---|---|---|---|---|
| Quo with Sona | AI, inside Quo's phone system | Call tiers on top of a $19 seat | $81 (100 calls for $49, 20 at $0.65, plus seat) | $145.50 (250 calls for $99, 50 at $0.55, plus seat) |
| PhoneAgent.ai | AI, books the session | Flat monthly, Starter about 150 calls, Professional about 500 | $89 (Starter) | $199 (Professional) |
| Upfirst | AI | Call bundles, spam and calls under 15 seconds not billed | $89.95 (Premium 90 calls, 30 at $1.00) | $159.95 (Pro, 300 calls) |
| Moneypenny AI answering | AI | Call bundles | $242.80 (100 calls for $199, 20 at $2.19) | $529.50 (250 calls for $435, 50 at $1.89) |
| Smith.ai AI receptionist | AI | Call bundles | $262.50 (75 calls for $150, 45 at $2.50) | $501 (300 call plan) |
| Specialty Answering Service | Live | Minute plans, month to month | $470.60 (220 minutes for $269, 140 at $1.44) | $1,185 (500 minutes for $649, 400 at $1.34) |
| PATLive | Live | Minute plans | $592.40 (300 minutes for $479, 60 at $1.89) | $1,475 (500 minutes for $759, 400 at $1.79) |
| Moneypenny live receptionists | Live | Minute plans | $727.60 (200 minutes for $422, 160 at $1.91) | $1,653 (500 minutes for $985, 400 at $1.67) |
| Ruby | Live | Minute buckets, overage rate not published | $1,725 (500 minute plan) | Above published tiers |
Quo lists its Sona call tiers and its seat price separately and does not say how they combine, so the seat is added here. A live service bills the whole three minutes of a caller asking whether you have a couples room on Saturday, which is why the live rows more than double between a normal month and a busy one while the flat rows barely move. Confirm current pricing with each provider before you sign.
What does a spa answering service do?
It answers your spa's phone when the front desk cannot and turns each call into the right next step. A spa or massage studio gets five kinds of calls, and only one of them is really a question.
The largest group is booking: a first time client who wants a 90 minute deep tissue massage, a regular rebooking with her usual therapist, a couple planning an anniversary, a bride booking six facials for the morning of the wedding. Then come changes (a reschedule, a late cancellation, a running late call), gift cards (most of them in the weeks before Mother's Day and in December), quick questions (do you have parking, what should I wear for a body wrap, how early should I arrive) and the occasional call that needs a manager.
A traditional answering service handles almost all of these by taking a message, which means someone on your team calls back between sessions, and by then a share of those callers have booked elsewhere. PhoneAgent.ai books the first group, applies your policy to the second, captures the third, answers the fourth from your own menu and sends the fifth to a person. If you also run treatments with a medical director, such as injectables or laser, those calls belong on our med spa answering service setup, which adds the clinical routing a medical practice needs.
How much does a spa answering service cost?
At about 120 calls a month, published pricing puts a spa answering service between $81 and $1,725 a month. Who answers and how a call is counted explains almost the whole spread.
Live answering services bill by the minute. Specialty Answering Service sells 220 minutes for $269 and charges $1.44 a minute after that, about $470.60 for the 360 minutes that 120 three minute calls use. PATLive comes to $592.40 on its 300 minute plan plus overage. Moneypenny's live receptionists come to $727.60, and Ruby needs its $1,725 plan once you pass its 200 minute tier, because it does not publish an overage rate.
AI receptionists bill per call or flat. Quo's Sona is about $81 if your spa already runs its phones on Quo, Upfirst is $89.95 with 30 extra calls, Moneypenny's AI plan is $242.80 and Smith.ai's AI receptionist is $262.50. PhoneAgent.ai is a flat $89 a month for about 150 calls on Starter and $199 for about 500 on Professional, so the 300 call gift card month costs $199 rather than the $1,185 to $1,653 a live service would bill. If you only want to compare on price, our cheap answering service for small business comparison prices nine services at low volumes, and the full category is costed on answering service cost.
Can an AI receptionist book massage appointments into my spa booking software?
It depends on where your book lives, and you should know the answer before you buy any service, ours included.
PhoneAgent.ai books directly into Google Calendar, Outlook, Calendly and Acuity Scheduling. Many solo massage therapists and small studios already run on one of those, and for them the session is booked on the call, with the service, length, therapist and any add-on written into the appointment.
It does not write into Mindbody, Vagaro, Boulevard, Square Appointments, Booker or Zenoti. For spas on one of those systems it does the next best thing: it answers the caller's questions, collects the service, preferred day and time and therapist preference, texts the caller your own online booking link so they can pick the slot themselves, and emails your front desk the details in case they would rather call back. It says exactly that to the caller, so nobody hangs up believing they are booked when they are not.
For a spa where most bookings already happen online and the phone is the overflow channel, that is usually enough. For a spa that books almost everything by phone into Mindbody or Boulevard, ask any vendor to show you a live booking into your own account before you sign, because that is where most AI receptionist demos quietly fall short. If your spa sits inside a boutique hotel or inn and shares its phone line with the front desk, the room reservation side of those calls is covered on hotel answering service.
How does it handle gift card calls and holiday rushes?
Gift card calls are the calls a spa most wants to answer and most often misses, because they arrive in a few short bursts: the weeks before Valentine's Day and Mother's Day, and the last two weeks of December, when someone is buying a present the night before they need it.
PhoneAgent.ai answers every one of those calls at once, however many come in the same minute. It tells the caller what your gift cards cover, how much they can be loaded with and whether they expire, using the wording you approve, and texts them your online gift card link so the sale closes on their phone while they are still motivated. If you sell gift cards only at the desk, it takes the buyer's name, the amount and a callback number and sends it to whoever is on shift.
The same applies to the busiest booking weekends. A live service queues those callers behind each other, and a voicemail box fills up. An AI receptionist simply answers all of them, and because PhoneAgent.ai is a flat fee, a December with three times your usual calls costs the same as a quiet month.
Which spa calls should still go to a person?
Four kinds, and you set the rules once.
Anything health related: a pregnant caller asking whether prenatal massage is safe for her, a client mentioning a recent surgery, a blood clot history or a skin condition before a facial. The AI does not give health advice, says your team will confirm, and passes the details to a person. A complaint about a session or about a therapist's conduct always goes straight to the owner or manager, never to a script. Membership cancellations and refund disputes go to whoever handles billing. And any caller who asks for a person gets one: on Professional and Practice the call is warm transferred to whoever is on duty, and on Starter you get a text and an email straight away.
PhoneAgent.ai tells every caller in its first sentence that it is an AI assistant for your spa, so no one feels misled, and it never quotes a price or a policy you have not written down.
What is the best answering service for a solo massage therapist?
For a solo massage therapist, an AI receptionist that books into the calendar you already use. A solo practitioner is in a session for most of the working day, so every call during those hours goes to voicemail, and the callers most likely to give up are new clients who do not know you yet. An AI service answers on the first ring, books the session into Google Calendar, Calendly or Acuity, and texts back anyone who hangs up, at a monthly cost below one 60 minute massage.
A live receptionist makes sense for a larger day spa whose clients expect to hear a person and whose front desk is already staffed during opening hours, where the answering service only needs to cover overflow and evenings. If that is your spa, compare the live rows in the table above on your own call volume, and look at missed call text back as a cheap way to recover the calls that still slip through. Salons with a similar booking pattern can see how the setup works on AI receptionist for salons, and the wider field is ranked on best answering service for small business.
