Restoration answering service, an answering service for restoration companies and emergency restoration answering service for water damage calls 24/7
Restoration work is won or lost on the first phone call. A homeowner standing in an inch of water at 2am does not leave a voicemail and wait until morning. They hang up and call the next company on the search page, and whoever answers first usually gets the mitigation job, the drying equipment on site and the rebuild after it.

The short answer
A restoration answering service answers the emergency calls a water, fire or mold restoration company cannot let ring out, captures the loss details and the insurance information, and puts the urgent ones through to the crew lead on call. For a company taking about 100 calls a month (300 minutes), published September 2026 pricing runs from $79 to $1,725: AI services cost $79 to $449 and live answering services about $358 to $1,725. PhoneAgent.ai is $89 a month flat on Starter, or $199 on Professional with warm transfer, and a freeze week that bursts pipes across the county costs the same.
PhoneAgent.ai answers every one of those calls in your company name, finds out what happened and whether the water is still running, takes the address, the insurance carrier and the claim number if there is one, and puts the call through to whoever is on call by rules you write once. Calls that can wait, a mold inspection, a contents question, an adjuster following up, are booked or logged for the morning.
Below is what each way of covering the phone costs at a normal volume and in a catastrophe month, priced from each provider's own pricing page, plus what our AI receptionist will not do (it does not write jobs into DASH, Albi, PSA or Xcelerate, for one).

Why it works
What your team gets with a restoration answering service
First ring, every time
It picks up at 3am on a Sunday, takes six calls at once after a hard freeze, and never lets a flooded basement reach voicemail while your crew is already on another loss.
Loss details and claim info captured
It asks your questions (water, fire, smoke or mold, is the source stopped, which rooms, owner or tenant, the carrier and claim number) and texts your crew lead the summary with the address.
Same bill in a catastrophe month
You pay $89, $199 or $399 a month. The week a freeze bursts pipes across your service area costs the same as a slow August, because nothing is billed by the minute.
What it handles
Answered, disclosed and booked on autopilot
The AI receptionist answers every call 24/7, discloses it is your AI assistant, qualifies and routes the caller, answers your FAQs, and books the appointment straight into your calendar, then texts a confirmation and, on Professional and above, syncs the contact to your CRM.
- Answers every call 24/7, including nights, weekends and holidays
- Asks your loss intake questions and captures the carrier, policy holder and claim number
- Tells callers where to shut off the main water valve, if you want that said while they wait
- Sends active water, fire and sewage losses to your on-call crew lead (warm transfer on Professional and Practice)
- Books mold inspections, estimates and contents walk-throughs into Google Calendar, Outlook, Calendly or Acuity
- Takes messages from adjusters, property managers and plumbers who refer you work
- Handles calls in English or Spanish, detected on the caller's first sentence
- Texts back any caller who hangs up before the call is answered
Why PhoneAgent.ai
One AI receptionist that handles the whole call
Not a voicemail box, not a phone tree, and not a message-only answering service. Answer, disclose, qualify, route and book in one place, honest with every caller.
Answers every call
It answers on the first ring, 24/7, discloses it is your AI assistant, and holds a natural conversation, so no caller is ever sent to voicemail.
Honest and consent-aware
It tells callers it is an AI, recording is optional and consent-aware per state, and outbound texts are TCPA-aware with opt-outs honored.
Books the appointment
Callers get booked straight into your calendar, texted a confirmation and, on qualifying plans, synced to your CRM, so the appointment is on the books before you check.

What a restoration answering service costs at 100 and 300 calls
Every row is priced from the provider's own published pricing, checked in September 2026. The model is a restoration company taking 100 calls in a normal month and 300 in a catastrophe month (a hard freeze, a storm or a flood), at a three minute average call (300 and 900 minutes). The call counts are our working assumption, not an industry benchmark, so rerun the math with your own phone bill. Rows run from cheapest to most expensive in a normal month.
| Provider | Who answers | How it bills | Normal month, 100 calls | Catastrophe month, 300 calls |
|---|---|---|---|---|
| Goodcall | AI | Flat per agent, metered by unique caller ($0.50 each over the plan) | $79 (Starter, 100 callers) | $154 (Growth, 250 callers plus 50) |
| PhoneAgent.ai Starter | AI | Flat monthly, about 150 calls included | $89 | $199 (move up to Professional) |
| Rosie | AI | Minute buckets, calendar booking from the $149 plan | $149 (1,000 minutes) | $149 |
| PhoneAgent.ai Professional | AI | Flat monthly, about 500 calls, warm transfer to your on-call crew | $199 | $199 |
| Smith.ai AI receptionist | AI | Per call bundles | $270 (150 call plan) | $500 (300 call plan) |
| Responsive Answering | Live | Minute plans, rounded up to the whole minute, $75 setup | About $358 (250 minutes for $299, then 50 at $1.18) | About $1,009 (500 minutes for $549, then 400 at $1.15) |
| Specialty Answering Service | Live | Minute plans, billed by the second | About $384 (220 minutes for $269, then 80 at $1.44) | About $1,185 (500 minutes for $649, then 400 at $1.34) |
| AnswerConnect | Live | Minute plans, every call rounded up to the whole minute | $395 before rounding (Growth, 300 minutes) | $1,325 before rounding (950 minute plan) |
| MAP Communications | Live | Minute plans | About $403 (250 minutes for $339, then 50 at $1.28) | About $1,161 (500 minutes for $649, then 400 at $1.28) |
| Sameday | AI | Minute plans, field software scheduling listed | $449 (500 minutes) | $789 (1,000 minutes) |
| Ruby | Live | Minute buckets, no overage rate published | $1,725 (500 minute plan) | Quote (above the largest published plan) |
Between the normal and the catastrophe month the live rows roughly triple, because a minute costs the same on a quiet Tuesday and on the night the pipes froze. Goodcall counts a homeowner who calls four times about the same flooded basement as one caller. Responsive Answering and AnswerConnect round every call up to the next whole minute, so their real bills run above the figures shown.
What does a restoration answering service do?
It answers your company's phone when nobody on the crew can, and turns each call into the right next step. Restoration calls fall into four kinds, and each needs a different outcome.
An active loss (water still coming through a ceiling, a sewage backup, a fire the department just put out) needs your on-call crew lead on the phone within minutes, with the address and the story already written down. A loss that has stopped but needs drying, or a mold concern, needs an inspection or estimate visit booked. An adjuster, a property manager or a plumber who sends you work needs a message your office can act on first thing. And a caller who is only shopping needs a polite answer about what you do and where you work.
A traditional answering service handles all four by taking a message and paging someone. PhoneAgent.ai puts the first kind through to a person on Professional and Practice, books the second, logs the third and answers the fourth, the same way at 2pm and at 2am. Plumbing contractors who hand you water losses are covered on our plumbing and home services AI receptionist page.
How much does a restoration answering service cost?
For a company taking about 100 calls a month, published September 2026 pricing puts a restoration answering service between $79 and $1,725 a month. Almost all of that spread comes from how each provider counts usage.
Live answering services bill by the minute. Responsive Answering sells 250 minutes for $299 with $1.18 a minute after that, plus a $75 setup fee, about $358 for 300 minutes. Specialty Answering Service sells 220 minutes for $269 and $1.44 a minute over, about $384. MAP Communications sells 250 minutes for $339 with $1.28 overage, about $403. AnswerConnect's Growth plan is $395 for 300 minutes and it rounds every call up to the next minute. Ruby runs from $250 for 50 minutes to $1,725 for 500 and publishes no overage rate.
AI services bill differently. Goodcall is $79 a month and meters unique callers, Rosie sells minute buckets with calendar booking from its $149 plan, and Smith.ai's AI receptionist sells call bundles from $270 for 150 calls. PhoneAgent.ai is a flat $89, $199 or $399 a month. How every provider prices across industries is on our answering service cost page.
Why does a freeze or a storm change the math?
Because restoration calls do not arrive evenly. A hard freeze, a hurricane band, a week of heavy rain or a river over its banks can put a month of calls into three days, and every one of them is a job you want. That is the week a minute-billed service charges you the most, and the week a missed call hurts the most.
Run the catastrophe column in the table and the gap is plain. At 300 calls a month the live services land between about $1,009 and $1,325, and Ruby has no published plan big enough. Smith.ai's per call AI plan nearly doubles to $500. The flat plans barely move: Rosie stays at $149, Goodcall goes to $154, and PhoneAgent.ai moves from Starter to Professional at $199 and stays there.
That is also the month you are renting extra dehumidifiers and paying crews overtime, so a surprise phone bill lands at the worst time. If a fixed bill is the main thing you are shopping for, flat rate answering service shows which plans in this category are truly flat and which are prepaid minute buckets.
What should a restoration answering service ask on an emergency call?
The questions your estimator would ask first, in the same order every time, so the crew lead can decide in one read whether to roll a truck tonight. Most restoration companies settle on a list close to this one.
What happened (water, fire, smoke, sewage or mold) and when. Whether the source has been stopped, and if it is a supply line, whether the caller knows where the main shut off is. Which rooms and floors are affected, and whether water is reaching ceilings, electrical outlets or a finished basement. Whether the caller owns the property, rents it or manages it. The insurance carrier, and a claim number if they have already called it in. The address, a callback number and a good time to arrive.
PhoneAgent.ai asks those questions on every call and texts and emails the answers with the full transcript. If you tell it to, it also reads the caller your safety line (stay out of rooms where water has reached outlets, call 911 for fire or a gas smell) before anything else. It does not diagnose the loss or estimate a job, which is what keeps your company out of disputes over a number a phone agent said.
Does it work with DASH, Albi, PSA or Xactimate?
Not directly, and it is better to know that before you buy. PhoneAgent.ai does not create jobs in DASH, Albi, PSA, Xcelerate, JobNimbus or any other restoration job management system, and it does not touch Xactimate. It captures every call with the caller's name, address, callback number, loss type, carrier and claim number, and sends it to your team by text and email with the transcript, so your coordinator can open the job in a minute.
It books inspections and estimates straight into Google Calendar, Outlook, Calendly or Acuity. Plenty of one to five crew companies run their estimate schedule in one of those even when job files live in their restoration software.
If the job has to appear inside your job management system with nobody touching it, look for a vendor that names that integration and ask to see it work on a demo call. Sameday lists pro scheduling integrations on its $449 and $789 plans. Whoever you pick, ask whether jobs are created automatically or typed in by a person, and what that costs.
Live answering service or AI for a restoration company?
For the calls most restoration companies get, an AI receptionist is faster and cheaper. It answers on the first ring, takes several calls at once when a freeze hits, asks every intake question every time, and does not bill by the minute. It is also the only way to get round the clock coverage with booking and transfer for under $200 a month.
A live answering service is the better buy when many of your callers need a calm person more than a fast one, a family watching their kitchen burn, an elderly homeowner who is frightened and confused, or a large commercial account with a written emergency protocol. If that is your phone, Responsive Answering, Specialty Answering Service and MAP Communications publish their prices, and our Goodcall alternative and Rosie alternative pages compare the AI options in detail. Property managers who call you about water in units have their own guide at property management answering service.
PhoneAgent.ai tells every caller in its first sentence that it is an AI assistant for your company. On Professional and Practice a caller who asks for a person is transferred. Callers who hang up before it answers get a text back, which matters more in restoration than almost anywhere, and is covered on missed call text back.
