Speed to lead software as the category is normally sold means lead routing: it takes a web form submission, decides which sales rep owns it, and pushes an alert or a booking link. Chili Piper, the best known product in that space, publishes its entry plan at $1,250 a month for 15 seats billed annually. For a contractor with four trucks and a phone that rings, none of that applies, because home services leads arrive as calls and the failure is not slow routing but an unanswered ring. CallRail's January 2025 analysis of 1.1 million leads put the missed inbound call rate in home services at 14 percent during business hours, and after hours most independent shops miss close to all of them. The tool that fixes speed to lead for a contractor is the one that answers the phone.

This is a comparison of what is actually buyable, what each option costs, and which of them does anything at all about a call at 8pm. We sell one of them, so the honest limits of our own product are stated as plainly as everyone else's.

What does speed to lead mean for a home services business?

It is the time between a homeowner deciding they need you and someone from your business talking to them. In a B2B software company that clock runs from a form fill to a callback, and shaving it from forty minutes to five is a genuine project. In a plumbing or HVAC shop the clock is usually the length of a phone call ringing out, which is around 20 to 25 seconds before most callers give up.

That difference changes what you should buy. A routing tool improves a process that already exists. Nothing about assignment logic helps when the underlying problem is that everyone who could answer is under a sink, on a roof, or asleep. The contractor version of speed to lead is a capacity question, and capacity is either a person on a phone or software on the line.

It also changes how you measure. Lead response dashboards count records, and an unanswered call usually creates no record, so the leads you handle worst are invisible in the report. Pull the missed call count from your phone system or your call tracking instead, and pull it for evenings and weekends separately. That number is the size of the problem.

Why lead routing software does not fix a contractor's phone

Look at what the category charges and who it is designed for. Chili Piper publishes Routing and Scheduling at $1,250 a month, which includes 15 seats and is billed annually only, with extra seats at $45 each. Its Experiences tier starts at $3,500 a month with 30 seats. The standalone scheduling product is $12 per user a month but carries a 200 seat minimum. LeanData, the other name that comes up, publishes no pricing at all and sells on a quote.

Those are not prices aimed at a six person shop, and the seat minimums make the point clearly: this software assumes a sales floor. Several articles still quote Chili Piper at around fifteen dollars a user, which describes a plan structure its own pricing page no longer shows, so check the source before you budget from a listicle.

More to the point, none of these products answers a call. They route, assign and schedule leads that arrive as forms. If your leads arrive as forms, they are the right category and this article is not for you. If your leads arrive as calls, you can buy the best routing stack in the market and your missed call rate will not move a percentage point.

The column that matters most is the last one. A tool that captures the lead and hands it back to you has not solved response time, it has moved it. The caller is still waiting, and the callback runs into the same availability problem that caused the miss in the first place. Only two rows on that table end the conversation with a booked job: a person who answers, and software that books.

Missed call text back deserves its own note, because it is heavily marketed to trades and it does help. It also arrives after the caller has already been let down, and by then a homeowner with a leak is usually talking to the next company. Treat it as a safety net rather than a speed to lead fix. What does a missed call actually cost a contractor?

Here is arithmetic you can redo with your own figures. The point is the method, not our numbers, so every assumption is stated.

Take a shop doing 300 inbound calls a month. Apply CallRail's measured 14 percent home services miss rate and you lose 42 calls in business hours alone. Assume, conservatively, that half of inbound calls are existing customers, suppliers or wrong numbers, so 21 of those misses were potential jobs. Assume you would have won 35 percent of the ones you answered, which gives about 7 lost jobs. At an average ticket of $450 that is roughly $3,150 a month, and at a $2,500 average ticket for a shop doing replacements it is $17,500.

Now do the after-hours half, which is where the arithmetic gets uncomfortable. Emergency calls skew to evenings, weekends and the first cold night of the season, they carry higher tickets, and the homeowner making one is not comparison shopping. Most independent shops miss essentially all of them. Whatever number you put in that row, it is larger than the business hours number.

Against that, the options cost $89 to $399 a month flat for AI, $2.00 to $3.30 a minute for a live service (so $8.00 to $13.20 for a four minute intake call), or $4,450 to $5,000 a month for one dispatcher who covers 40 of the 168 hours in a week. One honest caveat on the method: close rate is the assumption doing the heaviest lifting and it varies enormously by trade and by how the call is handled. Use your own, and if you do not know it, that is worth finding out before you buy anything.

How fast do you actually have to answer?

The number everyone quotes is five minutes, and it is worth knowing where it comes from because it is almost always credited to the wrong source. The finding that responding within five minutes rather than thirty gives roughly 100 times better odds of contact and 21 times better odds of qualifying comes from the Lead Response Management study run in 2007 by Dr. James Oldroyd at MIT Sloan with InsideSales.com, across more than 15,000 leads and over 100,000 call attempts. Harvard Business Review published something different in 2011: an audit of 2,241 US firms which found that companies responding within an hour were about seven times more likely to qualify a lead.

Both were measuring callbacks to web leads, not inbound calls, and both are old enough to treat directionally. For a contractor the practical translation is simpler. The window is the ring. Somewhere around 20 to 25 seconds the caller hangs up, and a homeowner with water coming through a ceiling does not leave a voicemail, they dial the next result. There is no five minute target to hit because there is no five minute window.

When a person still beats software

If your dispatcher routes trucks rather than answering phones, you are not comparing like with like. Someone watching a board who knows which tech carries what, that the afternoon job will run long, and how to reshuffle when a service call turns into a replacement quote, is doing skilled operational work that no answering product replaces. Past six or eight trucks that person pays for themselves.

Commercial accounts are the other case. Property managers and facilities contacts expect a named human who knows their building, and handing that relationship to a script is a bad trade regardless of what it saves.

And there are limits worth stating plainly about what we connect to. We book into Google Calendar, Outlook, Calendly and Acuity. We do not write into ServiceTitan, Housecall Pro, Jobber, FieldEdge or Service Fusion, so a booked call still has to reach your field service system by whatever route you use today. Any vendor answering that question with an unqualified yes deserves a follow up about which specific fields they write.

How to choose, in four questions

Does it answer the phone, or does it only organize leads that someone else already caught? This single question removes most of the speed to lead category for a contractor.

Does it book, or does it take a message? A message resets the clock. A booked window ends the job of responding.

What does it cost when the phone is busy? Metered per minute plans and flat plans behave very differently in the week of the first freeze, which is exactly the week you find out.

And what happens on a call it should not handle? Write the escalation rule before you sign anything: which calls go straight to a human, whose phone rings, and who is second if the first does not pick up. Shops that skip this get one of two outcomes, everything escalates so nothing was gained, or nothing escalates and a commercial client got processed like a form.

Worth remembering that the phone is only the last step. Most of these calls exist because a homeowner searched, saw a name with a lot of recent five star ratings, and dialed it, which is why steadily collecting reviews from finished jobs and answering the calls it generates are the same growth problem viewed from two ends. Fix the second and the first gets more valuable.
